Picture a dark office, blinds drawn. Picture a UX designer smoking a cigar. See the light filtered through the smoke whipped to fog by a spinning ceiling fan. Watch as the UX designer sits at a desk and considers the website.

The UX designer has devised a series of tests to determine if a green button is better than a red button. One of them involves tipping a tortoise onto its back. He looks the website over carefully and says, “Describe in single words, only the good things that come to mind about your mother.”

The website pauses, sweating under pressure, then replies, “Let me tell you about my mother…”

BLAM! The website pulls the trigger of an unseen gun, and the UX designer collapses, leaving the project to be rebuilt from scratch in Material by Harrison Ford, with overuse of Post-its delegated to Edward James Olmos.

Who Does UX Testing Actually Serve?

In the past’s bleak dystopian future (1982’s Blade Runner was set in 2019) no one benefitted from asking the wrong questions. And little has changed.

Designing any test to verify UX is fraught with as many complications as administering the test. Questions are skewed by bias, conscious or otherwise, and competing agendas. Even with something as apparently simple as a split test, the potential for distortion is immense.

When planned by a designer, a UX test offers little benefit to a client; the benefit is to the designer, who can then say their ideas are validated (or not).

Imagine hiring a developer to code a website, only to discover that the developer didn’t know CSS and expected to be paid to learn it before completing the work. You would hire someone else because that developer isn’t qualified.

From a client’s perspective, a UX designer should know, through experience, whether a green button is better than a red button. Designing an elaborate test to split-test the button color serves little purpose other than indemnifying the designer against mistakes.

The ROI of UX Testing

It’s widely accepted that there is substantial ROI (Return On Investment) from UX testing. We’ve all heard apocryphal stories about sites that split-tested their checkout and improved retention by 5%.

I’m going to go out on a limb and say that without user testing, that site could have improved its checkout retention by 4.9% simply by hiring a competent, experienced designer. But what about the remaining 0.1%? Well, for most sites, 0.1% represents very little profit. And the cost of recovering it via testing far exceeds the benefits.

When a company the size of Amazon, Netflix, Spotify, or Google split tests a website, it can afford to allocate $25k for user testing because it stands to gain 0.1%, and that represents far more than $25k. To meet the same 0.1% improvement, a small business has to design and run the same tests, incurring the same costs. But in the case of a small business, $25k could eat up all of its profits.

UX testing almost always works. But it is only profitable at scale.

If a good UI designer with a grounding in UX can improve checkout retention by 4.9%, tripling the project budget for just 0.1% more is a tough sell. Bluntly, that $25k is better spent on advertising.

What UX Designers Can Learn From Psychiatry

We all have the tendency to think we’re unique. It’s a survival trait attributed to our prehistoric brain. That belief in uniqueness is particularly strong in highly competitive people. We all think our site, our side-project, our approach are original. And we’re all wrong.

When a psychiatrist sits down with a patient, they have two immediate goals: categorize that patient into an established diagnosis, and assess the severity of the condition. It may be that the patient is depressed or anxious or even suffering from a potentially more debilitating condition like schizophrenia. What the psychiatrist is not trying to do, is define a new illness.

Occasionally — perhaps once per decade — a genuinely unusual patient will present themselves, and a new form of illness is considered. New treatments are found and tested. These treatments are rarely developed on behalf of individual patients; doctors work with grants from governments, medical schools, or the pharmaceutical industry and publish their results.

The vast majority of websites face similar problems. They deal with similar demographics, work within a similar culture, and deal with similar technology. As such, they can be categorized in the same manner a psychiatrist categorizes patients.

The key to delivering successful UX solutions is not UX testing in individual cases, but rather UX research, examining similar projects, and cribbing their solutions. If you categorize a project accurately, you’ll find a solution readily available.

Replacing User Testing With UX Best Practices

Your client doesn’t need to pay for UX testing to benefit from it. Enterprise sites, government sites, and even personal projects will test UX patterns. Sites like Shopify or Stripe will user-test their checkout processes at scale and enable companies to benefit from the results by adopting their platforms.

If you’re currently testing designs for small business, one of two things is true: either you’re wasting your client’s money investigating a problem someone else has already solved, or you’re designing something so original that it has no precedent (and you probably shouldn’t be).

Designers should be opinionated. Designers should know UX best practices and how they apply to a range of scenarios. Designers should be capable of making an educated guess. Designers should be self-validating.

Once or twice in your career, you may find a legitimate need to test something. However, the vast majority of the time, the correct answer is to tip the tortoise back onto its feet and choose whichever color button has the higher contrast.

Après avoir adopté l’ERP SAP S/4HANA, METEX NØØVISTAGO a souhaité améliorer son processus d’élaboration budgétaire. Une tâche confiée à SAP Analytics Cloud Planning, déployé par le Groupe KPC.

METEX NØØVISTAGO est un acteur industriel à la pointe de la bio-industrie.L’entreprise produit des ingrédients fonctionnels (principalement des acides aminées à ce jour) par fermentation pour le marché de la nutrition animale et bientôt de la cosmétique : 1 usine, 100KT d’acide aminées par an, 200M€ de CA annuel, et 350 salariés.

En juin 2020, METEX NØØVISTAGO a déployé un nouveau système d’information en mode greenfield, comprenant l’ERP intelligent SAP S/4HANA, un data warehouse SAP BW/4HANA et l’outil d’analyse de données SAP Analytics Cloud. « Un changement de taille pour METEX NØØVISTAGO,qui avait travaillé pendant 35 ans sur IBM AS/400 », explique Paul Stoffaes, DSI de l’entreprise.

Reste un processus qui n’avait pas été refondu : la planification budgétaire. « Le processus de forecast était réalisé sur Excel, ce qui était long, laborieux et source de nombreuses erreurs. Le contrôle de gestion passait plus de temps à consolider les données qu’à les analyser. Quant au processus d’élaboration budgétaire, il était encore plus fastidieux ».

METEX NØØVISTAGO a donc décidé de mettre en place une solution capable de livrer des prévisions au mois, à l’année et sur plusieurs années, avec une agilité permettant l’intégration aisée de nouveaux produits ou de nouveaux processus. L’objectif est de libérer du temps au contrôle de gestion, afin qu’il puisse se focaliser sur son cœur de métier, l’analyse et le pilotage.

SAP Analytics Cloud Planning déployé sur l’élaboration budgétaire

La société a confié la modélisation de son processus à l’un des modules de SAP Analytics Cloud, le module de Planning. « L’utilisation de SAP Analytics Cloud Planning permet de faciliter l’intégration avec l’ERP SAP S/4HANA, constate Paul Stoffaes. Il y a également une certaine logique à l’utiliser, car nos collaborateurs connaissent déjà SAP Analytics Cloud dans le cadre de la Business Intelligence. »

Le déploiement de la brique Planning de SAP Analytics Cloud a été confié à KPC : « Ils ont bien compris nos enjeux et ont su proposer un déroulé de projet et une méthodologie adaptés, ainsi qu’un chiffrage lisible. Leur capacité à s’engager au forfait sur un planning serré a également été une des raisons du choix de KPC. » METEX NØØVISTAGO avait en effet fixé comme contrainte une réalisation du projet dans un délai restreint de 5 mois.

Le cœur fonctionnel de la solution mise en place est un P&L présenté par produit, accompagné de plusieurs modèles de simulation. Chaque équipe dispose de son propre accès à la solution, afin d’y faire remonter ses données et prévisions : commerciaux, production, achats, logistique… Les informations sont synchronisées chaque jour – dans les deux sens – entre les référentiels SAP S/4HANA, SAP BW/4HANA et SAP Analytics Cloud, au travers de SAP Data Hub.

Voici le détail du processus mis en place :

  • L’équipe de vente fait remonter ses informations : volumes, prix, commissions…
  • L’équipe en charge des achats définit les prix moyens pondérés.
  • L’équipe de production travaille en parallèle sur la définition des nomenclatures.
  • Le contrôle de gestion pilote l’ensemble du processus, en intervenant lorsque nécessaire.

Un projet réussi, qui renforce l’adoption de SAP Analytics Cloud

« De notre point de vue, le projet est une réussite, résume Paul Stoffaes. Il a été mené à bien dans les délais, avec un budget maîtrisé. KPC a su faire preuve d’une solide expertise fonctionnelle et technique. Nous avions séparé le projet sous forme de lots, permettant de dispatcher les livrables tout au long du développement, ce qui s’est avéré très confortable. »

Quels bénéfices a identifié METEX NØØVISTAGO?

  • Des gains de productivité, avec une réduction de la durée du processus et une plus grande autonomie des parties prenantes.

There was a point at which I was very close to losing my business, and I didn’t realize how close.

I wasn’t always a good planner, and I didn’t plan to start an agency. One day I was a freelance graphic designer, my job list grew, I hired some help, and suddenly I was managing a team.

There isn’t a guidebook for new business owners, you have to learn on the job, and there’s no one-size-fits-all approach. We expanded rapidly from two to four people, then seven, and suddenly we hit 16 employees in just 18 months. It was pretty scary and felt like driving on the freeway without brakes. A client shared a story that they were turning over $20m, and the owner was only taking home $30k. It felt like where I was headed. At that point, I could easily have lost it all.

I took a hard look at the numbers and realized that we were barely breaking even, let alone profitable. That needed to change to stabilize the business and regain control of my operations. The change wasn’t easy, and there were some hard lessons, but 11 years later, with a strong local team and 40+ awards for our work, I’m thankful for that wake-up call.

There are other people in my position struggling with the same issues I faced, so I’d like to share the four key things I did that helped turn things around and move us from surviving to thriving.

1. Don’t Diversify Your Services

I wanted to do it all, and as the business owner, it was hard to turn down a new client. Our instincts are to help, and declining opportunities feels wrong. In our industry, digital agencies, especially web design agencies, try to cover all bases from marketing, SEO, adwords, design, photography, and coding. Everyone wants to be a one-stop shop for clients. I used to be that person: I would wash your car and shine your shoes if I could.

Do not give in to that fear.

When you’re a generalist, you spread yourself too thin. I know: a decade ago, we were offering dozens of services outside of the web design realm: packaging, branding, copywriting, sticker design, SEO, hosting, analytics, you name it, we provided it. We used over seven different CMS for our projects. If a client wanted it, we tried to offer it, no matter how unsuitable it was for us.

On the surface, we fulfilled our projects, and our clients were always thrilled with the results. But below the surface, our operations were dissolving into a mess. Our eyes weren’t on the prize; we were always chasing after each little job for cash. It took too much time to learn new skills. When I looked at our timesheets and deducted the unbillable hours, our projects would hardly break even.

What hurt us even further is that with diversifying, we had to manage multiple workflows, software, and systems: Sketch, Illustrator, Photoshop, WordPress, Joomla, Drupal, Google Analytics, Final Cut Pro, etc. It was expensive with minimal return. It was like an Olympic swimmer signing up for a swimming-diving-ice-skating club when their passion is swimming.

So I took a step back. I boiled it down to what we enjoyed and excelled at. Ask yourself: for what do you want to be known? For us, it was psychology-driven, conversion-focused web design. This was the service our team had the most skills in and collectively could give the best value to our clients. Once I’d figured that out, it was easy to eliminate those other services and specialize.

You can niche down by service or industry and be the specialist in what you offer.

2. Know Your Numbers

The first red flag that my business was in trouble was when I said to my accountant, “I feel like my business is doing great.” He replied, “I don’t care how you feel. The facts are in the numbers. Show me your accounts, and I’ll tell you if you’re actually doing well.” As an intuition-driven guy, it was a real eye-opener; I’d only ever relied on gut instinct.

At one point, we had a ton of work coming in, so I hired a few juniors to help the rest of the team. The team grew to 16, and the vibes in the studio were great, but the numbers weren’t. Instead of increasing efficiency, projects took 40 hours longer than they should have done. Why? The seniors and mid-level designers were taking time out to train the juniors! Reassessing the team showed me I needed to hire experienced staff, so projects ran on time and budget. It was a hard decision but a necessary one to keep us afloat.

The crucial numbers for any design agency are your timesheets, where bottlenecks lie, how much you’re spending, how long a project takes; these determine your actual margins. Setting up quantitative software like Toggl, Gantt, and Asana were a game-changer for us. They gave our project management real purpose and potential. Knowing the average hours our primary type of project took made it easy to give clients realistic deadlines, anticipate the need for fresh hiring, and know when our plates were full. You do not want to bite off more than you can chew.

3. Become The Best Fit For Your Target Market

You can’t please everyone, and frankly, you shouldn’t be trying to. One type of bait won’t attract every kind of fish. First, identify the type of fish you want to catch, the pond where this type of fish lives, and finally, bait your hook with something that type of fish can’t resist.

Your sales team should be able to identify them instantly, and all you then need to do is streamline your team, process, and systems towards being the best fit for them.

4. Double Down On Marketing That Works

There are many different marketing avenues you can go down, but go down too many, and it becomes a tangled web of confused messaging.

Remember, just because your competitors are doing it does not mean it’s the most effective approach for your target market.

There are really only inbound and outbound types of strategies, and it’s a great idea to list out the pros and cons (and the ROI of each) concerning your target market. Or, you can approach marketing based on your existing skillset — for example, if you detest being in front of a camera and don’t want to do video marketing, then just don’t do it.

Identify what works for you, and then be consistent. Consistency is the secret to a successful marketing strategy.

As a web designer, you’re responsible for a lot of things. Your client is relying on you to ensure that their website is user-friendly, accessible, eye-catching, and even good enough on the back-end to capture the attention of the search engines. 

However, what many business leaders and clients don’t realize is that they also have a part to play in ensuring that they get the right results from their site; there’s more to the client and contractor relationship than an exchange of funds. 

Today, we’re going to examine some of the most common mistakes that clients make when they begin working with a website designer for the first time. After all, when a client makes a mistake, it’s up to you to show them how to get back on track. 

Client Mistake 1: Providing Minimal Insight

Creativity, for the most part, is the responsibility of the designer in any web-building project. You know best what you can do for a client. 

When you’re discussing an upcoming project with a business owner, you can walk them through concepts like dark mode design or strategies for digital accessibility. However, you’re still reliant on your client to let you know if there’s anything specific they need. 

An insufficient brief in a web design project usually means that you waste time on a project because you have to go back and forth multiple times, making updates and edits. Getting a brief ironed out properly from day one can reduce misunderstandings and mistakes. 

To get your client started, ask them to share some details like:

  • Who’s the target audience? Do they have a user persona they can share?
  • What specific features does the site need? Landing pages, forms, widgets, etc.?

  • Brand colors and assets: What kind of hues and shades should you use?

You need to make sure that you’re charging enough to cover the cost of things like essential software and hardware for your company. At the same time, with so many other designers out there, you also need to ensure that your costs are competitive. 

After you’ve gone through the hard work of figuring out what your pricing structure should be, you also need to be capable of justifying that expense to your client. It’s common for many customers to go into their work with a web designer expecting that they’ll be able to get an entire website, blog, and app for less than a couple of hundred dollars. 

Make sure that your client is aware of your pricing immediately to avoid any confusion. If possible, have a pricing page on your website or portfolio which highlights the cost of different packages and precisely what your clients are going to get. 

If your customers can see the value in your services and even equate to an hourly workload or skillset, they might be better equipped to set the proper budget. 

Client Mistake 4: Making Too Many Technology Decisions

You’ll find that you work with many different types of client during your time as a web designer. Sometimes, you’ll have people who come to you not really knowing what they want or need. This means that you may need to spend some time speaking to them about their expectations and discussing what’s possible. 

On the other hand, there’s always a chance that you could work with a client who thinks that they should be making all of the decisions themselves. While it’s true that your client should have some control over things like the style of their website and what features it has, it’s up to you to make technical decisions like what kind of tools you’re going to use. 

If your client tries to dictate everything you do and how you’re going to do it, this could make it difficult for you to deliver your best work. Explain your processes to your customer in advance and find out why they want you to use specific technology. 

For instance, if your client wants to use a specific kind of website builder because they’ve heard it’s “the best,” you can explain what you like most about the product you’re already using. 

Client Mistake 5: Being Too Attached To An Idea

This is a problem that happens in a lot of creative industries. A client goes out and finds something that they like on another website. It might be an attractive landing page or a specific checkout process. They’re so excited by what they see there that they refuse to compromise on that idea when working with their designer – even if the concept isn’t suitable. 

For instance, your client might come to you wanting a website that’s full of dynamic animations and videos. However, if they only have a limited amount of bandwidth from their hosting provider, this could mean that they end up with a slow site that aggravates their customers. 

The best thing you can do when this happens is to present the issue to your client in a way that they can understand. For instance, if you’re worried something will slow down their website, talk to them about how speed is essential to good customer experience. You could even share some page speed stats like: if a page takes more than 3 seconds to load, over half of all visitors will abandon it. 

Seeing the stats for themselves could mean that your clients are more likely to change their minds. 

Client Mistake 6: Working With The Wrong Designer

Finally, one of the biggest mistakes any client can make is working with the wrong website designer. There are a lot of professionals out there, each with their unique skills to offer in things like UX design, ecommerce page creation, and so much more. However, it’s not always easy to know what you need as a business owner getting online for the first time. 

The good news for web design clients is that there’s a lot of information out there that you can use to get informed fast. The bad news for designers is that this means you’re going to need to work at keeping your skills on the cutting edge if you want to attract the widest selection of customers.

Strengthen Your Client/Designer Relationships

While it’s true that you need to stay on the cutting edge with your design talents, you also need to make sure that you can create positive relationships with every client that comes to you. 

Like designers, clients can make mistakes too, but not knowing what they want, trying to take too much control, or simply failing to understand the scope of a product. Rather than letting those mistakes hold you back, prove your mettle as a designer by helping your clients navigate these issues. The result will be more streamlined project experiences, happier customers, and better reviews for your company.

That’s why they’ve continually been increasing the role performance plays when ranking websites for their SERPs (search engine results pages).

In recent years, Google has introduced core web vitals. These are metrics they hope will help quantify how performance affects the user experience. In general, they measure how fast, stable, and interactive a page is while loading. This will be more important than ever after Google announced its Page Experience update, which started its global rollout in June 2021.

As you may know, ranking highly for Google is vital for your website’s visibility. For one, 68% of online experiences begin with a search engine, of which Google has a 92.7% market share. Even if you manage to land on the coveted first page of Google, the first five results get over 70% of all clicks (28% to the first result alone).

So, to recap why a fast loading website is so desirable:

  • It directly affects your ability to keep, satisfy, and even convert visitors to your website.
  • It impacts your search engine rankings which impacts your “findability” and organic traffic.

8 Reasons Your Site Is Slow + How to Fix Them

O.K., so now that we’re all on the same page regarding the importance of your website performance, let’s look at common issues slowing down your website + how to fix them.

1. You’re Using A Sub-Par Hosting Service

As the party responsible for making your website available to the outside world, your hosting service can be a make-or-break factor. Not only should you pick a host that has a good track record when it comes to uptime a performance, but also one that’s suitable according to your needs.

Even if you take all the steps below to optimize your website’s performance, it may still load slowly if traffic to your website is overwhelming your available bandwidth or your host’s server capacity. If that happens, some users may experience extremely slow loading times, broken features, or even complete unavailability.

For most personal, blog, or local/small business sites, a respectable hosting provider like Bluehost or GoDaddy should be good enough. However, if you plan on running any type of large-scale, high-traffic webstore, business portal, or other type of website, you’ll want premium hosting, such as WPEngine (for WordPress), VPS hosting, or even a dedicated server.

2. You’re Not Optimizing Your Media Assets

As you probably know, media like images and videos take up significantly more space than most other types of content, such as text, code, stylesheets, or other static files. Even a single image has the potential of consisting of more data than dozens of website pages containing nothing but the underlying HTML and text.

In a Speed Essentials presentation, the Google team identified images as the largest contributor to page weight. In fact, they have the potential to consume a website’s entire performance budget if left unoptimized. Images can also directly impact all three of Google’s core web vitals – key metrics Google uses to measure the performance of a website.

However, the use of images and video is likely to continue growing, heightening the importance of finding a sustainable solution. According to HTTPArchive, images have increased by 19.3% on desktop and 42.7% on mobile.

For now and the foreseeable future, optimizing your images carries the greatest potential for improving performance.

The problem is that optimizing image assets requires multiple steps. Most importantly:

  • Using the appropriate next-gen formats which can differ depending on the user’s device, OS, or browser.
  • Appropriately compressing the size and quality of images to reduce payload without affecting visual quality too badly.
  • Using the optimal display size and density based on the accessing device to reduce payloads further.
  • Using lazy loading to only load images as needed.

As you can see, manually going through these steps for every single image on your website can be extremely labor-intensive. This is especially true if you consider that you somehow need to create the optimal variants for different users based on what device, OS, or browser they are using.

In-code strategies, like a JS plugin, responsive images, or CSS media queries tend to bloat your code and lead to other performance issues we’ll discuss below.

Luckily, there are plenty of CDN services available designed specifically for providing some degree of automated image optimization. These platforms analyze the context (i.e., a specific mobile device model, OS version, and browser version) of the user trying to load one of your images and try to serve them a version of the image that’s ideally optimized for them.

However, any media optimization platforms still require installing a small JavaScript plugin to dramatically improve the image and video optimization capabilities. 

The one exception here is ImageEngine. ImageEngine uses WURFL device-detection to pick up every possible detail of the user’s device. The logic is built into their device-aware edge servers and doesn’t rely on you adding any additional code or markup to your website pages.

So, not only does it reduce your image payloads by up to 80% and serve them via a global CDN, but it doesn’t leave a footprint in your website’s code. As a bonus, it also happens to support the widest range of image/video formats, including animated GIFs, as well as client hints and save-data mode.

3. Render-Blocking JavaScript And CSS Is Delaying Page Loads

JavaScript is the de facto programming language for adding interactivity and advanced features to websites today. Likewise, CSS is the standard for adding styling. Both are critical components for almost any modern website.

However, nothing good comes free, and both may impact the performance of your website, particularly when used carelessly. 

The following are some steps you can take to minimize the impact of these assets on your website performance:

  • Minify your JavaScript and CSS files.
  • Combine a large number of JS/CSS files into fewer files.
  • Replace some of your external JS and CSS files with inline JS/CSS. (Don’t overdo this! Inline JS and CSS is only suitable for small code snippets).
  • Defer loading JavaScript until after all your content is loaded and use media queries for CSS files.

Because media can have a more significant impact on your page weight, this leads some to believe that adding more JavaScript is the lesser of two evils. 

However, depending on whether you already have render-blocking JS, Google might flag this as a completely new issue. Regardless, it will negatively impact your performance score in tools like PageSpeed Insights:

You can avoid it altogether by using an optimization engine like ImageEngine that doesn’t require any JavaScript.

4. You’re Not Using A Content Delivery Network (CDN)

A CDN is a network of servers spread across various regions all over the globe. What it basically does is store a copy of your website on each of these servers. When an internet user visits your site, the CDN automatically serves your website from the nearest server to that user.

What this does is allow your website to load faster, no matter where in the world people are visiting it from. If your website was only hosted on a single server, say somewhere in the U.S., then it could take much longer to load for a visitor located in Asia than one in the U.S.

While they all basically do the same thing, different CDNs are better at handling different types of content. Cloudflare, Fastly, and Akamai are just some of the most popular general-purpose CDNs around. Image CDNs like ImageEngine are purpose-built to not only serve image and video assets but to also optimize them using compression, formatting, etc.

So, the two main factors to consider are the type of content you want to deliver via the CDN and its global coverage. However, it’s usually possible to use multiple CDNs in tandem to cover different types of content and reach a wider area.

5. There’s Excessive Overhead In Your Database

If you have a website with any type of complexity, you probably have a corresponding database. In fact, all WordPress websites require a database to function.

Over the years, a lot of information moves in and out of the database. Sometimes, the data can get lost along the way or become obsolete. If you don’t regularly spring-clean your database, then this can really start to add up. Not only will it bloat the storage size of your database, but it will start to impact the speed of database queries and requests.

CMS users are especially prone to racking up these kinds of artifacts from plugins and themes that have been installed and removed over the years.

Unfortunately, there aren’t many easy fixes for this issue available. With most hosting providers, you’ll probably need to use phpMyAdmin to manually check and scrub your data. If you have a managed hosting solution, the host’s support team might be able to help you out. In the event that you have a locally installed database, there are some tools you can use, although they’re not 100% effective.

The best way to avoid any issues is to make database maintenance part of your routine and to learn the basics of how databases work.

6. You Have Too Many Plugins Or Themes Installed

For CMS users, plugins or themes offer near-limitless potential to spruce up the design and functionality of their website. However, each plugin or theme comes with additional code and content that add to the overall complexity and size of your website.

If you have a hand-coded website, the same goes for any additional applets or libraries you want to add to your site. 

The best way to combat this is to be conscientious when adding any extras to your website. Only install what you really need or want, and make sure to uninstall and properly remove them if you don’t need them anymore.

As mentioned, they might leave various transients or artifacts behind, so you should keep an eye out for them throughout your website files (not just the database) whenever you do some spring cleaning.

7. You Aren’t Utilizing Caching

Caching is often one of the most effective yet ignored techniques for improving website performance. Caching stores your website content in fast-access memory in the user’s browser, allowing it to be loaded near-instantaneously by users. This can include everything from text to stylesheets to images to JavaScript files.

Without caching, a user will need to redownload everything when they navigate to or reload a page — whether or not anything has changed.

However, not properly configuring caching on your website can lead to issues, such as users only loading out-of-date content. Most high-quality caching tools have built-in features that automatically clear the cache when you make changes to a specific website page or content. So, users will only reload content once it has been modified.

Some hosts offer out-of-the-box caching tools with their hosting service. CMS can also usually find plugins for this, such as WPRocket for WordPress.

8. Ads Are Dragging You Down

In the end, ads are just another form of media that increases the overall weight of your website pages. While they are typically small and lightweight, multiple ad placements can really start to add up.

What aggravates the issue is that ads are loaded from external sources. This means they’ll take longer to render, generate more requests, and may mess with how stable your pages load — affecting your core web vitals.

Depending on how important ads are to your revenue stream, you’ll want to carefully consider how many ads you use on your site, where to position them, and when they load. If possible, avoid loading ads at the same time as the rest of your page, especially interstitials.

Conclusion

As you can see, website performance is a multi-faceted subject. Although some may be worse than others, you can’t just address one area and expect your website to suddenly be performant.

However, some general principles apply:

  • Keep HTTP requests low by limiting the number of files required for each of your website pages.
  • Maintain proper code hygiene and spring clean transients and leftover artifacts.
  • Invest in proper hosting infrastructure as well as a CDN for your website.
  • Optimize your media assets to significantly bring down payloads without sacrificing engagement.

The final point deserves another shoutout. As we’ve pointed out, finding an optimization solution for your media, particularly images, is probably the best thing you can do to improve your website performance. From purely a performance perspective, there is no service quite as effective as ImageEngine. It’s also the one that requires the least amount of technical expertise and ongoing maintenance.

Regardless, you’ll want to run some tests using tools like PageSpeed Insights so you can gather data on what issues your website is facing. From there, you can prioritize fixes to make your website more competitive.

A server consolidation project is a significant undertaking, and IT teams will need to answer several weighty questions while planning for one. Can servers be consolidated more efficiently? If so, what is the cost and timeline for doing so? How can we adjust parameters like CPU, memory and storage if our estimates turn out to be incorrect? How will we handle R&D and testing for the new systems? And, most importantly, if we answer any of these questions incorrectly, how much will that impact the timeline and budget for the project?

It’s possible to answer these questions by using the Cloud as a sandbox environment to test design assumptions and validate ways of re-organizing and consolidating servers. Ultimately the servers will remain hosted on-premise, the cloud is just used as a placeholder in the planning and design phase of the project. Here’s how I recommend approaching the project.

In my experience, the biggest challenge that freelancers face — more than winning clients or setting prices — is project management; take on too much work, and you’ll start missing deadlines, take on too little, and you’ll start missing your rent.

Some people are naturally organized; they rock up at their desk at 08:59, fully confident in what they will spend the next 8–12 hours working on. Let’s be kind and say that I am not one of them, and leave it at that. The only way I have managed to survive the industry is by self-consciously micro-managing my schedule on a daily basis.

When I worked in an agency, I knew what I would be working on days in advance. Now, I know 90% of what I’ll be working on, weeks in advance.

That level of organization requires very, very, very careful planning. I hold team meetings at the end of the day, yes, “team” meetings of one person. To do that I use a number of tools that suit me.

How to Choose a Project Management App

The most important aspect of any project is the end. That’s when the client will assess your work, and that’s when you get paid. So when you choose a project management solution, make sure it gives you a clear path to the project conclusion.

I know one freelancer who sets himself a hard stop at 7 pm every day. At 7 pm, he downs tools switches off, and walks away. I once heard him end a client call at 7 pm because he’d reached his cut-off point. It made me wince — I would have stayed on until the call concluded — but it hasn’t affected his business.

I know another successful freelancer who works on a budget. When she has earned the money she needs for that day, she stops. She bills by the hour to make this work, so when she sits down in the morning, she knows exactly what time she’ll finish.

Personally, I prefer a task-based approach. I know what I have to get done; if I can get ahead, then great, but my main focus is ensuring I don’t fall behind. I believe that if you hit your deadlines, everything else will take care of itself. Admittedly, there have been a few late-nights (and all-nights) over the years, but thankfully they’re less common these days.

No one style of project management suits everyone. And it doesn’t matter what approach you take, provided you take an approach.

8 Best Project Management Apps for Freelancers

As a freelancer, the most important thing characteristic you can have is reliability. Cultivate a reputation for delivering on your promises, and you’ll become invaluable to your clients. The best project management app is the one that helps you keep your promises.

There are some excellent tools on the market that facilitate project management, but most are aimed at SMEs, or project managers running a team of freelancers.

The tools here are listed from least, to most useful for the average freelancer. I’ve avoided too many time-tracking apps because I find these tend to encourage billing by the hour, which is potentially damaging to your business long term. If you do need pure time-tracking, check out Harvest. I’ve also avoided solutions that are too large-scale to benefit freelancers. If you’re looking for a project management tool for teams, then Basecamp, Jira, Project.co, and Redbooth are all worth considering.

Sadly none of these apps are perfect, and there’s a good chance you’ll need to use two or three to manage your projects.

8. Todoist

Todoist is hands down the best to-do app on the market. The downside is that its feature set is minimal.

Todoist really excels at lists. You can break down tasks into sub-tasks, and sub-sub-tasks. The downside is there’s no real scheduling or comparison of multiple projects in a single view.

The mobile apps are great, and Todoist recently introduced boards, a form of kanban board that gives you a good overview of everything. If it introduces a gantt chart, I can see myself relying on it more.

Todoist has a free forever plan that is fine for most freelancers, and the paid plans start at just $3 per month.

7. Bonsai

Bonsai is an excellent service for freelancers that grew from a simple invoicing app to include proposals, contracts, time-tracking, and more.

I used Bonsai for invoicing for a couple of years, and it does everything it claims to do. However, there are a couple of significant areas where it falls down. Firstly, its invoicing is super-aggressive and cannot be customized — make sure you’re on friendly terms with any client you send a Bonsai invoice to. Secondly, while it does a good job of tracking what you have done, it doesn’t help you plan what needs to be done beyond a formal proposal.

If you’re running a few simple projects, then it’s possible Bonsai is right for you. Pricing starts at $19 per month.

6. Monday

Monday is one of the biggest players in the project management market. It offers a dizzying array of options, and if this list were aimed at project management for agencies, Monday would be further along our countdown. Monday may suit freelancers, particularly those who have migrated from agency work, but for most, it’s more than we need.

There is a free-forever plan that covers almost everything you could want. However, if you need to view your projects as a gantt chart — and I strongly suggest you do — then you’ll need to update to the standard plan, which starts at $8 per user per month, with a minimum of three seats, meaning at least $24 per month when billed annually.

5. AND.CO

AND.CO stands out as a slick, easy-to-use option for managing a freelance business. Like Bonsai, it allows you to manage proposals, invoicing, time-tracking, expenses, and more.

AND.CO also has extremely well-liked customer support. An underestimated consideration when you don’t have your own accounts team to resolve problems.

As with other solutions of this type, the task-management is lacking. It does include a simple to-do list, but in my opinion, it’s not sufficient, and you’ll need to supplement it with something that supports gantt charts.

There’s a free forever plan, but it’s barely more than a free trial. Pricing for full-featured access starts at $18 per month when billed annually.

4. ClickUp

ClickUp is a SaaS that aims to replace just about everything else you could need. Unlike some options on this list, it includes a CRM, which is a bonus because there’s nothing worse than relying on the search function in your email to track down someone’s contact details.

ClickUp also offers a genuinely free-forever account with enough features to make it usable. If you choose to upgrade to a paid plan, it’s just $5 per user per month, which is excellent value.

If anything, there’s just too much in here. If you’re someone who considers themselves a power-user who enjoys digging into every nuance of a UI, then ClickUp could be for you. But, if, like me, you favor a simple tool that does what it’s told and gets out of the way, then there are better options.

3. Asana

Asana is probably the best-known project management tool on the market. It offers a tremendous number of options and is flexible enough for any style of project management.

There’s a free forever plan that is ideal for getting started and offers you most — you may be sensing a theme here — of the features you’ll need. But Asana’s best feature is its excellent timeline implementation of the gantt chart, for which you’ll need to upgrade to a premium plan costing $10.99 per user per month, with a minimum number of 2 seats that translates to a rather expensive $21.98 per month.

2. Trello

Trello is famous for its kanban boards, and many people prefer them to gantt charts, which has helped the app grow rapidly in the last few years.

If you’re prepared to pay $10 per user per month, Trello actually offers gantt charts as well, in the form of its timeline feature.

Trello is mainly designed for teams, not freelancers. However, if you do have the budget for a premium plan, Trello gives you an enviable ability to switch project management styles on a whim.

1. Toggl

Toggl is perhaps the perfect balance of time-tracking and gantt chart that is ideal for freelance projects.

As with most tools, Toggl is designed for teams, with billing starting at $8 per user per month. However, it offers a solo plan, designed for freelancers, that is free forever.

The main thing you miss out on with Toggl’s Solo plan is team timelines, which you won’t need unless you’re outsourcing work. One other obvious omission is unlimited planning boards, which you may find yourself paying for sooner or later.

But for a mixture of simplicity and powerful features available for $0, Toggl is hard to beat.

Choosing to work for free, pro bono, gratis, without charge is something that most of us find ourselves doing at one time or another. Whether we’re filling a hole in our portfolio, there’s a friend or relative we feel beholden to, or because there’s an opportunity to aid a cause we value.

Recently, I agreed to take on some work, free of charge, for a charity whose goals I share. Because it’s a cause I believe in, I enjoyed the idea of being able to contribute in a more meaningful way than donating money. But my initial goodwill rapidly diminished as the project spiraled out of control, leaving me resenting the time I spent on it.

No one should feel obliged to give away their time for free, but if you do choose to, there are rules you can apply to ensure that everything runs smoothly and you’re left with a positive experience.

1. Be Specific in What You’re Donating

The most obvious problem with working pro bono is that there is no correlation between cost and value.

Budget reins in project ambitions in a regular designer-client relationship; the more you ask for, the more it costs. Everyone encounters clients who want an ecommerce store “just like Amazon,” only to then rapidly downscale their plans when the actual development cost of a site on that scale is made clear.

But when there is no development budget, ambitions quickly escalate. Clients do not necessarily understand the work involved, and if they’re not footing the bill, there’s no incentive to learn.

As the professional, you need to guide them. Set limits on what you’re expecting to donate, and use that to frame what is reasonably achievable.

“I’m donating 40 hours of my time, which normally costs $3000.” Or, “I’m donating my SEO package, which is enough to meet your initial goals as discussed.” They are both perfectly fine.

The purpose is not to highlight your generosity; it’s to establish clear boundaries to prevent scope creep.

2. They’re Not Doing You a Favour

Any client who suggests that their project will be good for your portfolio or gain you “exposure” knows they’re underpaying you. When you hear it from a pro bono client, walk away immediately.

The client needs to understand you are donating your expertise, not because you need to, not because you’re expecting something in return, but because you’re an awesome human being who wants to make the world a little better.

A client who thinks you’re getting something out of the arrangement does not understand your commercial value and will treat you as a novice. Your evidence will become guesses, your decisions will become suggestions, and the client will have little faith in the project outcome.

Clients, whether paying or not, need guidance. If they don’t respect you and believe in your guidance, they will start to cast around for other opinions to the detriment of the project outcome and your relationship.

This brings us neatly on to…

3. Everyone’s an Expert

Q. What’s the difference between an amateur and a professional? A. Professionals get paid.

You’re not getting paid, so in the client’s eyes, you’re now an amateur. Hey, guess what? Their 12-year-old daughter is an amateur too, and her views are now equally valid.

When you’re working pro bono, you can expect a lot of “help.” You’ll find that someone’s niece is planning to major in graphic design…when she graduates high school…in four years. You’ll find that someone’s partner has a hiking blog, read an SEO article, and is happy to “give it a try.” You may even find that the client themselves fancies a career switch to web design and doesn’t think it looks too hard.

Shut that **** down immediately. Smile, be gracious. Explain that, of course, you’re happy for contributions, and then avoid them like the coronavirus.

You’re donating a professional service that you’ve spent years developing, and you’re donating it to a cause that you value. You’re not there to increase someone’s chance of getting into college or to distract someone from their boring day job. If you do want to mentor people, there are places you can do that.

Everyone Actually Is An Expert

The nature of pro bono work is that more often than not, the people involved actually are experts. The simple truth is that people who aren’t experts in something tend to be in low-paying employment and are too busy trying not to be in low-paying employment to donate their time.

Like you, the people volunteering their time are doing so because they can afford to. For example, you may find that the organization’s head of accounts spends Monday–Friday as a tax advisor; the head of outreach is a project manager at a construction firm; the head of safeguarding is a school teacher.

People bring transferable skills to pro bono roles. Be sensitive to the fact that just as you are an expert in your professional context, so may they be. Simply not being an expert in design does not make them an idiot.

4. Do Not Foot the Bill

It’s tempting to simply donate everything to do with the project: the domain name’s going to cost $10? Well, it’s only $10; hosting’s $5/month? Well, it’s not too arduous to set up a small space on your own server.

However, when you give everything away, the client doesn’t understand the cost or value they’re receiving. As a professional, it’s part of your job to educate the client on the costs of a project like this; imparting your experience sets the organization up for future success.

Be clear at the start of the project that the client will be responsible for all expenses.

If you wish to — and you should not feel obliged — you are always free to make a financial donation equivalent to the expenses.

5. Stick to Office Hours

When you agree to do pro bono design work, the chances are that you know the person or organization you’re doing the work for. There’s almost always a personal connection of some kind, which means that the person or organization doesn’t see you in the professional context that normal clients see.

All good clients will respect the fact that you don’t answer emails on a Sunday morning. Not so the charity client. Not only will the charity client assume that you’re available outside of office hours, they may even think they are doing you a favor by not disturbing you during your regular office hours.

It’s important that you find some downtime outside of work to live your life. If you don’t want your evening out with friends to descend into an impromptu planning meeting (you don’t), set clear boundaries about when and how you’re prepared to work on the project.

Unless you’re self-employed, you can’t donate time when you should be working; what you can do is append pro bono work to your paid employment — do an hour after work, on weekday evenings, for example.

If you are literally doing this in your spare time, then allocate a specific time slot, such as a Saturday afternoon, and stick to it.

7. Stick to the Plan, and the Deadline

It is a universal truth that projects run better when there’s a structured approach. It doesn’t matter if it’s lean, agile, waterfall, or whatever you want to dub it. What matters is that you have a plan that works for you and is suitable for the project goals.

A structured approach, especially one that includes a timeline, will combat most disruptions. On the project I was working on recently, I was preparing for final sign-off when one volunteer announced it was time to “start thinking about what pages we need on the site.” 🤨

Discipline is crucial in pro bono work because different stakeholders will have different levels of commitment; some people will be full-time volunteers, others will be donating an hour per week. What matters is that the project that you are responsible for runs on your schedule.

8. You Have Zero Availability

Non-profits tend to talk to one another. When your friends and family see what you’ve done for Joe’s startup, they will start having ideas of their own. The client you’re completed the project for will have other projects lined up. When you aren’t charging, there’s no shortage of clients.

Before you agree to do any pro bono work at all, be prepared to say “no,” at some point.

The simplest way out is to say you have zero availability: you’re already booked up with paying work, or your boss has let you know she needs you for overtime next month.

Don’t feel bad about it. It’s probably true. There are only so many hours in the day, and even if you do have some time to spare, doesn’t your partner, dog, or social life deserve some attention?

There’s No Profit In Non-Profits

Working for free is not transactional. It probably won’t benefit your portfolio. It definitely won’t lead to paying work. Any skills or experience you acquire probably won’t be transferable. (It might give you the topic for a blog post.)

If the work were meant to benefit you, it would be called personalis bono.

Nevertheless, many of us will find ourselves agreeing to do pro bono work, either out of obligation or idealism. It’s not something to shy away from; changing the world — whether for a group or an individual — is a noble pursuit.

The key is that while you will not profit, neither should you suffer a loss. Volunteering your time, skills, and experience should be a sustainable process. One that you will not come to regret.
